Job Title: Facility and Customer Services Coordinator

Organization: Nuclear Innovation Institute

Job location: 117 Farrell Dr, Tiverton (NII Advance Technology Campus). In-person requirement 5 days a week.

Duration: 12-month contract (with possibility of extension)

Hours: Full time, 35 hours a week (Monday to Friday, 8:00 am to 4:00 pm, with requirement to work after hours on occasion with advance notice and scheduling provided).

Wage: $45,000-55,000 annually (with additional paid vacation and extended health & dental benefits)

We are looking for:

An energetic, outgoing, proactive, self-driven individual to support our organization’s facility management needs. This role will be responsible for coordination of the day-to-day operations of the NII Advance Technology Campus located in Tiverton, Ontario.

This engaging individual will use their exemplary customer service and people skills as a first point of contact to the organization, and will also provide facility management, organizational and administrative support.

Key responsibilities:

Customer service

  • General reception services and greeting guests (first point of contact for all guests)

  • Providing support to users who may approach reception with requests or with facility information (ex. washrooms, lunchroom issues)

  • Providing support to users who require wi-fi connection or general facility information such as emergency exits, etc.

  • Positive and approachable attitude eager to resolve issues and find solutions

Manage relationships with facility service providers

  • Creating and managing facility maintenance requests, amenities and services (supply ordering, etc.)

  • Regular touchpoints about room setup requirements, AV/IT, other services that may be required

  • Ensuring that facility service providers are keeping facilities in good working condition, presentable and well maintained


Facility and meeting room coordination

  • Single point of contact for all bookings in the space, working with all parties and vendors to ensure they have what they need for their bookings

  • Manage room booking requirements, including onsite support and administrative support if required

  • Managing room booking software (Skedda)

  • Main onsite contact for users

  • Able to utilize AV equipment for onsite or hybrid events

  • Coordinate with local vendors for meetings and events as required (ex. catering) for internal meetings or events

  • Supporting broader team with events (ex. invitation management, onsite support)

  • Supporting broader NII team administratively when required


Other support as needed, including occasional support for NII team members working out of the Advance Campus work location.

Key skills required:

  • Self starter and the ability to work with a team

  • Strong relationship building skills, ability to connect and maintain meaningful connection with vendors, partners and potential users

  • Proactive organization skills

  • Excellent listening, communication, writing and presentation skills

  • Sound judgement, tact, diplomacy, integrity, professionalism and confidentiality

  • Experience with facility booking system software(s)

  • Strong customer service experience and skills

  • Technological skills (AV/IT) to effectively support onsite activities

  • Proven administrative or assistant experience

  • Knowledge of office management systems and procedures

  • Excellent time management skills and ability to multi-task and prioritize work

  • Attention to detail and problem solving skills

  • MS Office suite
