Job Title: Facility & Administrative Coordinator

Organization: Nuclear Innovation Institute

Job location: 620 Tomlinson Drive, Port Elgin / 117 Farrell Drive, Tiverton (when required)

Duration: 12-month contract (with possibility of extension)

Hours: 35 hours a week (Monday to Friday, 8:30 am to 4:00 pm, with flexibility to work occasional evenings)

Wage: $40,000 - $50,000 annually

Reports to: Manager, NII Advance Programming & Facilities

We are looking for:

An energetic, outgoing, proactive, self-driven individual to support our organizations facility management needs. This role will be responsible for coordination of the day-to-day operations of NII's Headquarters in Port Elgin and will manage event bookings at our headquarters as well as at our Advance Technology Campus in Tiverton.

This engaging individual will use their exemplary customer service and people skills as a first point of contact to the organization, and will also provide facility management, organizational, financial, and administrative support.

As a Facility & Administrative Coordinator, responsibilities will include:

Managing-day-to-day facility operations of NII's Headquarters (620 Tomlinson Drive, Port Elgin):

  • General reception services and greeting guests (first point of contact for all guests)

  • Mail, shipping, and general correspondence

  • Ordering office supplies

  • Supporting financial services of NII including: pay invoices and undertake monthly credit card reconciliation; applying for, and reporting on, government grants etc.

  • Manage relationships with facility related vendors, service providers and landlord

  • Manage office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, and managed

  • Provide administrative support to President as required

Facility, and meeting room coordination:

  • Manage a facility booking system for meetings & events at multiple sites

  • Physical setup of events (tables, chairs, AV requirements, etc.)

  • Manage room booking requirements, including onsite support

  • Able to utilize AV equipment for onsite or hybrid events

  • Responsible for ensuring facilities are in good working condition; presentable and well maintained

  • Coordinate with local vendors for meetings and events as required for internal and external meetings or events

Other duties as required.


This position is a full-time contract and in-person is required.

Regular working hours are 8:30 am to 4:00 pm Monday to Friday, but occasional afterhours and weekend support will be part of regular duties. A schedule will be provided in advance.

The ideal candidate will have the following skills/experience:

  • Experience with facility booking system software(s)

  • Strong customer service experience and skills

  • Strong organizational skills

  • Strong technology skills (AV/IT) to effectively support onsite activities

  • Team oriented mindset

  • Proven administrative or assistant experience

  • Knowledge of office management systems and procedures

  • Excellent time management skills and ability to multi-task and prioritize work

  • Attention to detail and problem solving skills

  • Excellent written and verbal communication skills in MS Office suite

  • At least 3 years of experience in the field or in a related area

  • College Diploma in administrative related field or relevant equivalent
